How to make a quotation in 4 steps
From a blank page to a quote your client can accept, in a few minutes.

Add your business and the client
Enter your business details and who the quote is for. Save them once in the Brand Kit and every quote, invoice and receipt starts with your logo and details.

Price the work
Add a line for each service, product or project phase with a quantity and rate. Add tax, a discount or shipping if they apply; the total updates as you type.

Set how long the price holds
Choose the quote date and a valid-until date, then add your terms, such as the deposit you need or the timeline. The acceptance section gives your client a place to sign.

Send it, then convert it
Download the quote as a PDF and email it. When the client says yes, open the quote and choose Convert to invoice: same client, same items, a new invoice number.
What goes on a quotation
A good quote tells the client exactly what they will get, what it will cost and how long the offer stands, so nothing is a surprise when the invoice arrives.
The six parts of a clear quote

Quote, quotation or estimate?
A quote and a quotation are the same thing: a fixed price for a defined piece of work, offered for a limited time. An estimate is a best guess that can change once the work starts. This quotation generator covers all three: click the title on the preview to rename it “Quotation” or “Estimate”, and the rest of the layout stays the same.
Unlike a quotation template in a spreadsheet or word processor, the math is done for you. Line totals, discounts, tax and the grand total update as you type, in any currency, and the PDF looks the same on every screen.
Think of it as a quotation maker that remembers your work. Quotes you download are saved in this browser under Recent documents, so you can duplicate one for the next client, or reopen it and turn it into an invoice when it's accepted.

What to know about pricing a job and sending a quote.
Is this quotation generator free?
Yes. Creating, editing and downloading quotes is free, with no watermark and no limit on how many you make. No account is needed.
What is the difference between a quote and an estimate?
A quote is a fixed price for the work described, valid until the date on it. An estimate is an approximate figure that may change as the job goes on. Use a quote when you know the scope; when you don't yet, rename the title to “Estimate” and use it as an estimate template.
How long should a quote be valid?
Thirty days is common and is the default here. Use a shorter period if your material costs move quickly, and a longer one for large projects that take a while to approve.
How does my client accept the quote?
The quote ends with an acceptance section with lines for a signature and date. Your client can sign a printed or PDF copy and send it back, or reply by email to confirm. Keep that reply with your records.
Can I turn a quote into an invoice?
Yes. Open the quote and choose Convert to invoice. The client, line items, tax and look carry over, the invoice gets the next invoice number and a due date, and the quote number is noted on the invoice for reference.
Can I change the currency and the wording?
Yes. Pick any currency and rename every label on the quote, including the title, to match how you work. Add your logo and brand color for a quotation that looks like yours.
Can I download the quote as Word or Excel?
No. Quotes download as PDF, which keeps the layout identical on your client's screen and printer. You can reopen and edit a quote here anytime from Recent documents.
