How to make a receipt in 4 steps

Everything a customer needs as proof of payment, in about a minute.

    Add your business and the customer

    Enter your business name and contact details, then the customer who paid you. Save your details once in the Brand Kit and every receipt starts with them.

  2. 02

    List what was paid for

    Add each product or service with a quantity and price. Tax, discounts and shipping are optional, and the total adds up as you type.

  3. 03

    Record the payment

    Set the date paid and the payment method: card, cash, check, bank transfer or PayPal. The receipt is marked paid in full; switch that off to record a partial payment.

  4. 04

    Download or print

    Download the receipt as a PDF with no watermark and email it, or print a paper copy. The receipt number counts up on its own for the next one.

What goes on a receipt

A receipt is proof that money changed hands. Whatever receipt template you use, a complete receipt answers who paid whom, how much, for what and when.

The six parts of a complete receipt

  • Receipt number A unique number, counted up for you
  • Date paid The day the payment arrived
  • Seller and customer Your business details and who paid
  • Items and prices What was bought, quantity × price
  • Tax and total Tax shown on its own line if you charge it
  • Payment method Card, cash, check, transfer or app

When to give a receipt

Give a receipt whenever a customer pays you: at the counter, when a bank transfer lands, or when a client settles an invoice. It is the customer's record of the purchase, and often what they need for an expense claim, a warranty or their own bookkeeping.

Freelancers and small businesses usually send an invoice first and a receipt after payment. If you made the invoice here, open it and choose Create receipt: the client, items and total carry over, and the receipt is marked paid in full with its own receipt number.

The same receipt template works for a sales receipt at a market stall, a payment receipt for a freelance project, a rent receipt for a tenant or a cash receipt for a one-off job. Rename the title and adjust the labels; the numbering, the math and the PDF stay the same.

Keep your own copy too. Receipts you download are saved in this browser under Recent documents, so you can find, duplicate or reprint them later without starting from a blank receipt template.

What to know about making and sending receipts.

Is this receipt generator free?

Yes. Making, editing and downloading receipts is free, with no watermark and no limit on how many you create. You don't need an account.

What should a receipt include?

At minimum: your business name, the customer's name, a receipt number, the date paid, what was bought with quantities and prices, any tax, the total and how it was paid. This receipt maker has a place for each, and you can add custom fields such as a VAT number or a transaction ID.

Can I make a receipt for a deposit or a partial payment?

Yes. Under Details, switch off Paid in full and enter the amount you received. Turn on Show balance due if the receipt should also show what is still owed.

Can I turn an invoice into a receipt?

Yes. Open the invoice in the invoice generator and choose Create receipt. The client, items and total carry over, the receipt gets its own number, and it is marked paid in full.

Can I add my logo and change the wording?

Yes. Upload your logo and pick a color and layout. Every label on the receipt can be renamed, for example to “Sales receipt” or “Payment receipt”, by clicking it on the preview or under Customize wording.

Is a receipt the same as a tax invoice?

Not always. In some countries a VAT or GST invoice must show specific details, such as your tax registration number. You can add these as custom fields, but check your local rules if a customer needs a formal tax invoice.

Where are my receipts stored?

In your browser, on this device. Nothing you type is uploaded to our servers. Download the PDF to keep a permanent copy; clearing your browser data removes saved drafts.
