Paper invoices are still everywhere. Tradespeople hand one over at the end of a job, landlords leave one in the mailbox, market stallholders keep a pad in the van, and plenty of clients simply prefer something they can hold, file and pay by check. A printable invoice template has to look right on paper, not just on screen.
This printable invoice template is loaded in the editor below. Fill it in, choose US Letter or A4, and press Print: your browser's print dialog opens with only the invoice on the page, sized to the paper you picked. Prefer a pen? Print a blank with just your business details and fill in the rest by hand.
Three filled-in examples and a blank Classic layout for handwriting. Choosing one loads it into the editor below without touching the draft you already have.
Tip: copy rows from Excel or Google Sheets and paste them into any line.
Rename any label printed on the invoice. You can also click a label on the preview.
A printed invoice can't be clicked, searched or replied to, so everything the client needs to pay has to be on the page.
A small home repair job, filled in on a phone before leaving the site and printed at home for the customer's mailbox the same evening. Three lines, tax, and a total the customer can pay by check.

Whether labor, materials or both are taxable depends on your state or country. Turn the tax line on only if it applies, or set it as a fixed amount you calculated.
Print from the Print button under the preview, not from your browser's own menu. It prints only the invoice, with the page size set to the paper you chose, so there is no sidebar, no page header and no second page with a stray line. The text is printed as text rather than a picture, so it stays sharp even on an inexpensive printer.
In the print dialog, pick the same paper size as the invoice (Letter or A4), leave the scale at Default or 100%, and turn off the browser's headers and footers if your browser still offers that option, otherwise the date and a web address may be printed at the edges. The invoice already includes its own white margins, so the printer's default margins are not needed. If you only have A4 paper and the invoice is set to Letter, switch the invoice to A4 first rather than shrinking it to fit.
If you write invoices on site, open the blank Classic layout, add your business name, logo, address and payment details, and leave the rest empty. Delete the sample line or leave one empty row, then print a small stack. You get a professional-looking pad with your details preprinted, and you fill in the client, the work and the amounts with a pen.
Handwritten invoices still need numbers. Write them in sequence as you go, or number a batch before you print by making each copy in the editor with the next number. Keep a copy of every invoice you hand over, whether that is a photo on your phone, a carbon copy or a second print, because the paper you give away is the only record the client has.
Printed invoices are often paid by check or cash, which takes longer than a transfer. Give a clear due date, say who checks are payable to, and allow for mailing time: Net 14 or Net 30 is common for invoices sent by post, while “Due on receipt” suits invoices handed over at the end of a job.
If you are paid on the spot, write “Paid” with the date and method, or record the amount in Amount paid before you print so the invoice shows a zero balance. For a clean proof of payment, print a receipt from the receipt generator instead.
If you post invoices, fold them so the client's address shows through a window envelope, and note the date you mailed each one. If you charge late fees, print the terms on the invoice itself and check that they are allowed where you work, as the rules vary.
Printing, paper sizes and handwritten invoices.
Fill it in in the editor on this page, choose Letter or A4, and press Print under the preview. Your browser's print dialog opens with only the invoice on the page.
Yes. Open the blank Classic layout, add anything you want preprinted such as your business name and logo, clear the sample line and print as many copies as you need.
That happens when the whole web page is printed from the browser menu. The Print button under the preview prints only the invoice, edge to edge, leaving no room for them. If they still appear, turn off Headers and footers in the print dialog, usually under More settings.
Use the paper you have and the size your client expects: Letter in the US and Canada, A4 in most other countries. Switch the invoice to that size before printing.
Yes. Press Download to save the same invoice as a PDF, which you can email to the client or print again later from any computer.
